Cash Flow Forecasting for SaaS and Subscription Businesses
A SaaS business's income statement and its bank balance can tell two different stories in the same month. Monthly Recurring Revenue counts a subscription as revenue evenly over the period it covers, but the cash for an annual plan can land as one lump payment up front — a business can look flat on revenue and still see a large cash swing the week an annual renewal clears.
Churn and expansion move cash on a delay most forecasts don't account for. A cancelled subscription doesn't stop billing until the current period ends, so the cash impact of churn shows up weeks or months after the cancellation itself, and net new MRR from expansion — upgrades, added seats — shows up on a similar lag. A cash flow forecast for a subscription business needs to track when the money actually stops or starts arriving, not just the net change in MRR.
Customer acquisition adds its own timing gap: sales and marketing spend to land a customer happens up front, while the cash that customer generates arrives in installments over the life of the subscription. The CAC payback period — how many months of revenue it takes to recover the acquisition cost — is really a cash flow question as much as a unit-economics one, and it matters most during fast growth, when acquisition spend is scaling ahead of the cash coming back in.
