How Gold Kitchen Turned 4 Hours of Daily Bookkeeping Into Seconds

Gold Kitchen is a Ukrainian business selling professional equipment for the HoReCa industry, operating across retail, online orders, and wholesale deliveries to partners. Since giving up its office in 2019, the company has worked fully remotely, which means every part of the business needs shared, up-to-date access to the numbers.

Challenge

Before Finmap, owner Roman ran the company's finances by hand — pulling figures from multiple banks and Excel spreadsheets and reconciling them himself.

"I spent four hours a day just reviewing and 'dragging' funds from one month to another," Roman says. That was time that could have gone into launching new directions, working with clients, or scaling the business, but instead it disappeared into routine.

The bigger cost was invisibility. With sales split across wholesale, retail, and online orders, Roman couldn't tell which channel was actually driving profit. "I didn't know what my turnover was or which areas were profitable. I just had a rough idea of the figures," he says. Without management accounting of any kind, decisions on spending and investment were made on intuition rather than data, and there was no way to see a cash gap coming before it arrived.

Solution

Roman decided to fix the problem systematically rather than patch it. He connected Finmap and brought in a financial expert with more than 20 years of experience working with large companies and importers to help set it up properly.

"The financial expert is top-notch. I am very pleasantly surprised. Knowledge is key," Roman says.

The implementation moved through several stages: mapping every source of income and expense and splitting them by business area, configuring Finmap's categories and automatic rules around Gold Kitchen's specific structure, syncing data through integrations and file imports where direct integration wasn't available — including connecting NovaPay and setting up accounting for Monobank accounts — and training Roman and his team to read the data themselves instead of waiting on manual reports.

Results

The shift showed up directly in Roman's daily routine. The time spent on financial management was reduced roughly tenfold — instead of four hours a day, a few clicks are enough. As Roman puts it: "One second is a huge time saver; you can see all your finances at any time of the day or year."

Beyond the time saved, Roman now has full visibility into income and expenses by category, a clear read on which business areas are actually profitable, and a foundation for forecasting cash gaps and payments — decisions that used to run on gut feeling now run on data.

"Before, there was accounting that worked more for the state. After, there was management accounting that works for the company," Roman says.

With the basic model in place — categories built, business areas separated, and the team involved in day-to-day upkeep — Gold Kitchen is now looking ahead: using Finmap to forecast cash flow gaps, optimizing expenses by business area to improve margins, and opening new sales channels on top of management accounting that is already in place.

"Now we have more than just accounting for reports; we have management accounting that shows the real picture of the business," Roman says.
