How Intelligent System Grew ~150% in a Pandemic Year With Finmap

Intelligent System

The payment calendar helped us to plan our income and expenditure so that we knew whether we had a cash gap or where it might occur. We had time to react and avoid such a situation.

Mykola Mostovoy, Founder, Intelligent System

Challenge

Mykola Mostovoy built his construction business the way most contractors do at first: fast, hands-on, and out of Excel. By the time the company was running ten separate crews out of Warsaw — staffed by an international team drawn from Ukraine, Moldova, Georgia, Belarus and Poland — that approach had stopped working. Each crew kept its own budget for materials and consumables, but nobody had a single place to see the whole picture: which customers had actually paid, how much was going out the door on procurement and salaries, which projects were profitable and which weren't, or what equipment was sitting in inventory across ten different sites. Before Finmap, all of that lived in scattered Excel files, and reconciling one crew's numbers against another's ate time the team didn't have.

The company's outsourced Polish accounting firm wasn't built to close that gap. Its reports landed two to three weeks after the fact — fine for filing, useless for a decision that needed to be made that week. The obvious fix, hiring a full-time financial director in Warsaw, came with a real price tag: around 8,000 PLN (roughly €2,000) a month, a cost Mostovoy wasn't ready to commit to for a role he couldn't yet fully justify. "We required a more timely management accounting tool that would show us where we are earning profit, where we are losing money, and where we could operate more efficiently," he says.

Solution

Mostovoy consolidated the budgets of all ten crews inside Finmap, with role-based access so project managers, foremen and drivers each see and enter only what's relevant to their part of the business. Instead of batching paperwork for a month-end reconciliation, employees record income, expense and transfer transactions themselves, as they happen, using Finmap's three core entry points.

Two features carry the daily weight. The Cash Flow report gives Mostovoy a same-day read on where money is actually moving, crew by crew. The Payment Calendar lets him plan income and spending ahead of time instead of discovering a shortfall after it's already a problem. "The payment calendar helped us to plan our income and expenditure so that we knew whether we had a cash gap or where it might occur. We had time to react and avoid such a situation," he says.

The system also turned into an unplanned safety net. One September, an employee lost an invoice for 4,500 PLN (about €1,000) and forgot about it entirely — until the accountants went to settle the month's documents and found it missing. Because the transaction was already logged inside Finmap, the company caught the gap before the money was gone for good. "It's a good thing he ran it all by Finmap," Mostovoy says.

Results

With daily visibility across all ten crews, Mostovoy's construction business grew by roughly 150% in a single year — despite the pandemic. A separate venture in his portfolio, run on Finmap in fintech, grew 400% over the same period.

Just as telling is the hire Mostovoy still hasn't had to make. "At the level where we operate, we should have hired someone to handle the finances a long time ago. But with the Finmap service there is no need for that yet," he says — sidestepping that roughly 8,000 PLN-a-month cost while still getting daily, structured visibility across every crew.

Asked directly why he adopted Finmap, Mostovoy doesn't reach for a financial metric. "Because it is cool!" he says.
