How Smartass Gym Replaced Cash Chaos With a Clear Financial Picture

Smartass is a gym in Kharkiv, Ukraine, serving hundreds of clients a day. Between memberships, drop-in visits, personal training sessions, space rentals, and sports nutrition sales, the business generates dozens of transactions daily — on top of trainer salaries, equipment costs, utilities, taxes, and repairs running the other way.

Challenge
Owner Maksym had a business that was busy but not visible. Cash, in particular, was handled outside the rest of the accounting.

Administrators reported inconsistently — sometimes late, sometimes with mistakes. "Some things were accounted for, some were duplicated, some weren't tracked at all. Cash was calculated separately," he says. To find out how much cash was actually in the register, Maksym had to message administrators, wait for replies, and add it all up himself on a calculator.
"I had to calculate everything manually once a week or month, trying to figure it all out somehow. It was extremely inconvenient. Especially considering we already had a tool for this — and just weren't using it," he says. Without a reliable picture of cash flow, Maksym couldn't forecast dividends or plan larger expenses ahead of time — the business was reacting to situations rather than managing them.
Solution
Maksym had known something needed to change for a while, but the team was stretched across its own day-to-day work and he didn't have time to dig into the numbers himself. The turning point came with the chance to bring in outside help. "When you offered to help fix it, I realized that in just a few months, we could turn it all around," he says.
Working with a financial director, Smartass rebuilt cash tracking from the ground up: every transaction, from payments received to cash deposits, is now recorded automatically instead of being pieced together from messages to administrators. The team also set up a standing weekly reporting call, where Maksym gets a full rundown of what's been done, what's in progress, and which payments are scheduled — replacing the need to check numbers daily or chase staff for updates. Large purchases, like new equipment or technical maintenance, are now spread across several months rather than landing as a single hit to one month's numbers.
"We started allocating expenses properly. Now we can plan technical maintenance for the whole year — instead of taking a hit in one specific month," Maksym says.
Results
The day-to-day difference is immediate: no more evening calculator sessions, no more chasing administrators for cash totals. "Now everything's finally in order when it comes to managing cash. I see everything clearly in the system," Maksym says.
The weekly rhythm has also changed how he works. "It's really convenient for me because once a week we go over everything that needs to be discussed. I don't have to remind anyone about anything," he says. With reliable numbers behind him, Maksym can now plan ahead rather than react — forecasting dividends, staff bonuses, and salary increases in advance instead of deciding on the fly.
Looking forward, Smartass is building on that foundation with detailed budgets several months out, a more transparent bonus structure for staff, and scenario planning for changes like rising rent or equipment costs. As Maksym puts it: "Yes, of course I can recommend Finmap!"
