How LIBERT Saved $8,348 a Year by Replacing Spreadsheets With Finmap

LIBERT runs premium and business-class transportation in Ukraine — individual and corporate bookings, official delegation transport, event logistics, international routes, armored vehicles for security-sensitive trips, and English-speaking drivers. Andriy Antonenko founded the company in 2008 and built it around a simple principle: order matters, especially in finance, so he trained his team on a clear reporting system from early on.

Challenge
That discipline was manual. LIBERT ran on self-made spreadsheets, and by the end of the year that meant reconciling twelve-plus monthly tables that had grown too complex to trust without constant double-checking. Every evening carried the same risk. "If in the evening you do not check everything against the tables and do not additionally list all the results, or you miss a mistake somewhere, then tomorrow it will be impossible to untangle this tangle of data!" Antonenko says. The workload had outgrown what a single operations manager could reasonably handle in normal hours, and the CRM systems LIBERT tried along the way didn't fit how the business actually operated — none of them were built around drivers, vehicles, and projects the way a transport company needs.
Solution
Antonenko decided to try Finmap. "The system is simple and everything is clear. And the online meeting with the support consultant made it possible to customize the service exactly to my business format," he says.
The company built its Finmap setup around how it actually runs: each of LIBERT's roughly 20 drivers gets an individual account to log expenses with receipts and tag them to a project, so spending is never a mystery by the time it reaches head office. Individual cars are tracked as projects in their own right, showing service costs and revenue by vehicle class. A dashboard also gives Antonenko visibility into each driver's fuel consumption against their limits.
Results
The clearest result is a hire LIBERT no longer needs to make. Taking on an additional operations manager, at Ukraine's average monthly salary of $750, would cost the company roughly $8,780 a year. Finmap's annual subscription runs $432 — a net saving of $8,348 a year, on top of the payroll and management overhead a new hire would have added.
Day to day, that also means less time spent reconciling and more time spent running the business: fuel limits, driver balances, and vehicle-level profitability are now something Antonenko can check on a dashboard instead of reconstructing from a stack of tables. The other result is harder to put a number on but matters just as much to him: trust inside the team. "Finally, honest and transparent relationships are being built with my entire team, which is one of the keys to success for me. It is important that everything is enough for everyone, then the work of the drivers will be comfortable and the level of our service will only grow," he says.
He's already thinking about what else the system could take on: "I didn't even know if there were any similar programs or competitors to Finmap. And why, if this system completely satisfies me? It would be good for our business to be able not only to issue invoices in Finmap, but also to provide certificates of completed works."
