A budget vs actual template lines your planned numbers up next to what actually happened, line by line, and calculates the gap between them. That gap — the variance — is what tells you whether you're on track or need to change something before the quarter ends.

Most businesses build a budget once and then lose track of how reality diverges from it until year-end. This template is built to be checked monthly: revenue and each expense category get a budget column, an actual column, and a variance column that updates automatically as you enter actuals.

The variance column flags direction as well as size. For revenue, actual above budget is favorable and actual below budget is unfavorable. For costs, it runs the other way — actual below budget is favorable, actual above budget is unfavorable. A percentage-variance column alongside the dollar figures makes it easier to spot which lines moved the most relative to their size, not just in absolute terms.
